KartLap is built for young racers, so we have written this in plain English for racers and parents. It explains what we collect, why, and the choices you have.
Who we are
KartLap is run by React Fan Engagement, part of Visual Edge Media Ltd, 56 St. Williams Way, Norwich NR7 0AP. We are the data controller for the information described here. You can reach us at hello@kartlap.uk.
What we collect
When you create a profile and use KartLap we collect:
- Account details: email address, password (stored encrypted, we never see it), and if you sign in with Google or Apple, the name and email they share with us.
- Profile details you choose to add: display name, username, date of birth, age group, home track, kart class, experience level, bio and profile photo.
- Racing data you log: sessions, lap times, laps, weather, notes, kart setup notes and timing-screen photos.
- Community activity: who you follow, respects, comments, rivals, championships you follow or enter, and messages you send to support.
- For racers under 13: a parent or guardian email address and a record of their consent.
- If you subscribe to Pro: your Stripe customer and subscription IDs. Card details go directly to Stripe and never touch our servers.
- Technical data: IP address, browser and device type, pages visited and error reports, used to keep the app running and secure.
Why we use it
- To run your profile, sessions, leaderboards, feed, championships and notifications (performing our contract with you).
- To read lap times from a timing-screen photo when you ask us to. The photo is sent to an AI service for that one task and we store the result on your session (your consent, each time you tap the button).
- To keep the app safe, prevent abuse and fix problems (our legitimate interests).
- To take payment for Pro and keep records we are legally required to keep.
- To send you service emails such as confirmation, password reset and important changes. We do not send marketing email without asking first.
Children and young racers
KartLap is for racers of all ages, including children. We follow the UK Age Appropriate Design Code and UK GDPR.
- Racers under 13 need a parent or guardian to give consent when the profile is set up. We record the guardian email and the time consent was given.
- Racers aged 13 to 17 confirm they have a parent or guardian’s permission.
- Racers under 18 start with a followers-only profile. When a racer aged 13 to 17 links results from a published league table, their profile is set to public, because those standings are already public. Under-13 profiles stay followers-only unless their guardian chooses otherwise. The racer, or their guardian, can change who sees the profile at any time in Settings.
- We never show a date of birth publicly. Only the age group (for example U12) appears on leaderboards and profiles.
- A parent or guardian can ask us to view, correct or delete a child’s account at any time by emailing hello@kartlap.uk from the guardian address on file.
What is public
Your display name, username, profile photo, age group, kart class, home track, driver level, achievements, sessions and lap times are visible to other KartLap users and to anyone with a link to your public profile. Your email, date of birth, guardian details and payment details are never public. Championship standings imported from official results are already public information published by the series organisers.
Who we share it with
We use trusted providers to run KartLap. They only process data on our instructions:
- Supabase (database, login and photo storage), hosted in the EU.
- Vercel (web hosting).
- Stripe (payments for Pro).
- Anthropic (reading lap times from a photo, only when you use that feature).
- Google and Apple (only if you choose to sign in with them).
We do not sell your data and we do not share it with advertisers.
How long we keep it
We keep your data while your account is open. If you delete your account, your profile, sessions, photos, comments and follows are removed straight away. Payment records are kept for six years because tax law requires it. Backups are overwritten within 30 days.
Your rights
You can see, correct, export or delete your data. Most of this you can do yourself in Settings, including deleting your whole account. For anything else, email hello@kartlap.uk. You also have the right to complain to the Information Commissioner’s Office at ico.org.uk.
Cookies
We use only the cookies needed to keep you logged in and keep the app secure. We do not use advertising cookies. If we add analytics, we will use a privacy-friendly tool that does not track you across other sites.
Changes
If we change this policy in a way that matters we will tell you in the app or by email before it takes effect.
